However, there may be instances where you need to create a profile manually. For e.g. if a member is not intending to fill out a waiver, such as when selling a gift card and linking the purchase to the recipient who hasn't visited the gym yet.
A profile can be created from the Visitors Page.
When searching for a visitor profile in the POS/Events or other areas with a climber search, you may not always find the profile you need. [BETA Community tier & Above]
You can use this functionality, anywhere you see the profile search bar.

If you wish to create a profile, use the "Can't find what you're looking for?" button to manually create a new profile on the spot. This feature ensures you can quickly add new visitors without interrupting your workflow.
Inevitably people will make typos in their emails or create a second profile linked to a new email address and you will want to merge two profiles together.
You can only merge two profiles when you have admin privileges over both the profile to delete and the target profile.
This notification appears when you try to update a profile with an email address that is already associated with another existing account in BETA - in BETA each unique email, gets a unique profile.
Why does this happen? BETA only allows one profile per unique email address. If you attempt to assign an email that’s already in use, the system will prevent it to avoid duplicate accounts.
Note, the email could belong to a “dark profile”

We understand that you may wish to delete your account.
Please note that you must fill in the below Account Deletion Request Form in order for the BETA team to process this deletion.
Under the General Data Protection Regulation (GDPR), individuals have the right to erasure, allowing them to request the deletion of personal data when it is no longer necessary for the purposes it was collected.
GDPR also provides exceptions where data must be retained to comply with legal obligations or legitimate interests. For BETA, Acceptance of Risk (AOR) forms and check-in records are required to be kept for legal, and safety purposes.
When you submit a deletion request, BETA works with the climbing facility to ensure your personal data is deleted in accordance with GDPR. The process is as follows:
Request Submission
You complete the account deletion form, which is sent to the relevant facility administrators.
Review and Verification
The facility verifies your identity and reviews your account to determine which data can be deleted and which must be retained due to legal obligations (e.g. AOR forms and check-in records).
Data Deletion
Eligible personal data, such as detailed contact information, communication history, and non-essential profile details—is deleted from the system.
Confirmation
Once the deletion is complete, you’ll receive confirmation. Any data that must be retained will be securely stored and only accessed for legal, safety, or compliance purposes.
Account Deletion Request FormYes, visitor profiles can share an email. BETA will automatically link these profiles together in a family. This ensures that only one email has access to a profile.
Please ensure visitor’s input their email accurately because without the form signing process, there is no email validation.
BETA creates a profile if the email, name and date of birth are not unique. Sometimes, the profile will have the BETA app profile as a Family Member. Access to retained data (e.g. AOR and check-in records) is strictly limited to authorised personnel at the climbing facility and system administrators, and only for purposes of legal compliance, safety, and risk management.
