Available on the the Club Tier & Above, the Stock-Taking Sheet provides a snapshot of all stock items along with their details. This export captures the expected stock level within BETA at the moment of download.
To import a Stock-Taking Sheet, i.e., to update Stock levels, follow the steps below:
Download the Stock-Taking Sheet
Open up the .csv
Only edit Column 10, with the actual stock counted
Send that to the BETA team for re-import
STOCK CONFIG KEY - Value True if this stock option is the one currently in use
STOCK CONFIG IS MOST RECENT - Value True if this stock option is the one currently in use
PRODUCT - Name of the Product
BARCODE - Barcode of the Product
MANUFACTURER - Manufacturer of the Product
COLOR - Colour of the product
SIZE - Size of the Product
COST - Unit Supply Price of Stock Configuration
EXPECTED STOCK - Stock count inside of BETA
ACTUAL STOCK - Empty row, for import.
Available on the Community & Above, this report details the historical movement of stock within a specified time period. It includes all stock items and their respective movements, providing a comprehensive look at stock activity over time.
PRODUCT - The product name of the product being moved. Example: "Climbing Rope 50m”
product_key - a unique identifier for the product
OPTION - Specific variations or attributes of the product, such as size or color. Example: "Red, 10mm”
option_key - a unique identifier for the product option
GYM - The specific location or branch of the gym where the stock movement is taking place, if multi-gym.
SUPPLY_PRICE- The cost price of the product to the gym, which is the amount the gym paid to acquire the product. Example: "$50.00”
stock_config_key - a unique identifier for the stock configuration
TIME - The date and time when the stock movement occurred. Example: 2024-04-11 07:54:18 -0600 CST
COUNT - The quantity of the product that is being moved. This number can be positive or negative. A positive count indicates an addition to the stock, while a negative count indicates a reduction or removal from the stock.
CODE - Indicates the origin of the stock movement.
The options are:
SALE: Movement due to a sale.
STOCK: Movement for stock adjustments or transfers.
MANUAL: Manually recorded stock movement
GYM USE: Manually recorded stock movement for gym item use.
REFUND: Movement due to a refund.
NOTE - Any additional information or comments related to the stock movement.
Available on the Enterprise Tier, the COGS (Cost of Goods Sold) Report enables you to review the cost details related to the products sold. This export assists in financial tracking and analysis, helping to identify profitability trends. This report helps businesses assess product performance, inventory efficiency, and profitability over time.
Each column in the COGS report provides essential details about the cost and sales performance of products. Below is an explanation of each header:
PRODUCT KEY – A unique identifier assigned to each product in the BETA dashboard.
PRODUCT – The name or description of the product.
CATEGORIES – The classification or grouping of the product (e.g., Electronics, Apparel).
BARCODE – The product's barcode or SKU used for identification and scanning.
MANUFACTURER – The name of the company or brand that produces the product.
COLOR – The color variant of the product (if applicable).
SIZE – The size variant of the product (if applicable).
QTY SOLD – The total quantity of this product sold within the selected period.
AVG INVENTORY – The average number of units held in stock over the selected period.
INVENTORY TURNS – The number of times inventory is sold and replaced during the selected period (calculated as Qty Sold / Avg Inventory).
AVG INVENTORY VALUE – The average monetary value of the inventory held during the selected period.
RETAIL TOTAL – The total retail sales value of the product (calculated as Qty Sold × Retail Price).
RETAIL MARGIN – The profit margin on the product, typically represented as a percentage (calculated as (Retail Total – Cost) / Retail Total).
GMROI (Gross Margin Return on Investment) – A key metric that indicates profitability by showing how much gross profit is earned for every dollar invested in inventory (calculated as Retail Margin / Avg Inventory Value).
A Stock-Taking Sheet contains the information relating to your current stock (at the time of download) in your dashboard, along with the unit COST of that stock config.
