A physical tag is a scannable ID (e.g. barcode, QR code, or NFC chip) that can be assigned to a visitor's profile for use at check-in or for identification purposes. They are often referred to as Membership Cards, keychain tag. Note: These tags are tied directly to the visitor’s profile, not to a specific pass or entry product.
While physical tags are supported, they can be lost, traded, or shared, which may compromise check-in accuracy and security.
The BETA App generates a dynamic, expiring QR code tied to the visitor's active pass or entry. These codes cannot be reused or shared, making them a more secure and reliable option.
The QR code used for check-ins in the BETA app is dynamic, meaning it changes frequently for security purposes. The dynamic QR-code system ensures that the correct climber is checking in.
Each code is valid only for a limited time and will expire either after a short duration or immediately upon being scanned. This helps prevent screenshots from being reused or shared among climbers.
This ensures that only verified individuals, ie those with valid forms/AORs, correct profiles, or approved climbing proficiency, can check in. It helps gyms prevent unverified or unauthorized access.
If you're using third-party tools like Apple Wallet or Google Wallet or Physical Visitor Tags, you may choose to enable static QR code entry.
These codes do not change or expire and function similarly to physical tags. They must still meet the character and uniqueness requirements mentioned above.
BETA does not supply physical tags. You must source and manage them yourself.
Code Requirements:
BETA highly recommends using a QR code over a single-line 1D barcode. Why? QR codes are considered easier to scan compared to 1D barcodes, as they can be scanned in any direction, whereas 1D barcodes have to be scanned from the proper angle, and can be hard for phone cameras to easily pick up.
Must be unique to each visitor
Between 6–36 characters
No Special characters - only letters, number, _ underscores and - (dash) are accepted
Formats can include 1D barcodes, QR codes, NFC, etc.
You can assign a physical tag by entering the external ID in the visitor’s profile.
To remove a tag, simply clear the external ID field in the visitor’s profile. The tag will no longer be active or recognized.
Yes, each visitor can have multiple active external ID linked to their profile at a time.
We do not recommend using the BETA app as Kiosk mode, to scan physical tags for check-in. Most phone cameras struggle to reliably read 1D barcodes (single-line barcodes), which can lead to delays or errors. For best results, use the dashboard with a dedicated barcode scanner, especially when working with physical tags.

Physical tags are used to identify and scan customers either for quick profile access (via the profile search) or for checking them in—whether through the kiosk, the BETA app, or the dashboard.

BETA recommends using the in-app QR codes instead—they’re more secure by using dynamic & expiring codes, and are more environmentally friendly by using no plastic.
Yes, but only after it has been removed from the original profile. Each tag must be unique and not linked to multiple visitors.
No, physical tags do not expire. You must manage them manually if you want to deactivate or replace them.
Yes, as long as the scanner inputs the tag code into a text field (e.g. like a keyboard). Most 1D/2D barcode scanners will work with BETA.
Tags are always linked to the visitor profile, not to any individual pass or product.
A barcode scanner and NFC both work the same way in principle. The scanner enters the static Visitor ID code into the BETA dashboard, just like typing it on a keyboard.
You can use a scanner or NFC, whichever is easiest for your setup and front desk workflow.
ATTENTION: Keep in mind that the BETA app uses QR codes, and not NFC - so consider how you wish climbers to check into your gym.
